Effective date: 2026
1. Parties and agreement
These terms govern travel arranged by MAP2AFRICA (PTY) LTD (registration number 2020/208413/07), trading as Map2Africa. 'Client' means the lead booker and, where relevant, each traveller. The lead booker must communicate the terms to other travellers and have authority to provide their information.
The booking agreement between Map2Africa and the client includes the confirmed travel itinerary, quotation, booking confirmation and these Terms and Conditions. Any additional conditions from travel suppliers will be communicated to the client before booking confirmation.
Map2Africa is responsible for planning, arranging and coordinating the client's travel experience. Accommodation, transport, flights, guided activities and other travel services are provided by independent third-party suppliers.
2. Quotations and confirmation
Quotations are subject to availability and may change before confirmation. A booking is confirmed only when required funds have cleared and Map2Africa issues written confirmation. Clients must promptly check names, dates, inclusions and itinerary details and report errors in writing.
3. Deposits and final payment
A 30% deposit confirms land arrangements. The remaining 70% must be paid at least 60 calendar days before arrival. Bookings made within 60 days of arrival require full payment at booking.
Flights arranged by Map2Africa must be paid in full before tickets are issued. Specialist permits, charters and peak-season services may require higher or earlier payments where disclosed before purchase. Failure to pay by the due date may lead to cancellation after reasonable notice, subject to applicable law.
4. Prices and changes
All quotations are based on the rates, availability and exchange rates applicable at the time of quotation.
Prices are subject to change until the booking has been confirmed by Map2Africa.
Once a booking is confirmed, the agreed price will remain unchanged, except where additional charges are imposed by airlines, government authorities, national parks or other relevant third parties beyond Map2Africa's control. Any such additional charges will be communicated to the client before payment is requested, subject to applicable law.
5. Standard land cancellation charges
All cancellations must be submitted to info@map2africa.com in writing. The effective date is the date of receipt; Map2Africa will acknowledge the request.
More than 60 days before arrival: 20% of the affected land booking value. If a 30% deposit was paid, the remaining 10% of that value is refundable.
31–60 days before arrival: 50% of the affected land booking value.
30 days or fewer before arrival: 100% of the affected land booking value, ordinarily with no refund.
These charges are subject to mandatory law. Where South Africa's Consumer Protection Act applies, cancellation charges must be reasonable in the circumstances; no charge applies where prohibited, including the Act's applicable death or hospitalisation exception. The stated schedule is not a waiver of statutory rights.
6. Airline and specialist cancellation conditions
Inbound, domestic and regional flights are subject to the issuing airline's fare, change and cancellation rules, not the standard land cancellation schedule. Ticket refunds depend on fare conditions and applicable law.
Non-refundable permits, primate permits, private charters and specially contracted services may have distinct conditions disclosed before purchase. Applicable consumer protections remain unaffected.
7. Refunds and unused services
Refunds will be calculated by affected component, with lawful charges itemised on request. Refund processing may depend on supplier recovery and payment networks; Map2Africa will communicate material delays.
No-shows, early departures and voluntarily unused services do not automatically qualify for refunds, subject to supplier terms and applicable law.
8. Traveller-requested amendments
Changes to dates, names, destinations, accommodation or activities must be requested in writing. They depend on availability and may result in additional supplier costs, fare differences and any administration fee disclosed before acceptance. A request is not effective until confirmed in writing.
9. Supplier changes and disruptions
Where a confirmed supplier service becomes unavailable, Map2Africa will use reasonable efforts to arrange a suitable alternative and explain material differences. Refunds and remedies depend on the service, applicable supplier terms and law. Map2Africa remains accountable for its own legally enforceable duties.
10. Travel documents and children
Travellers must hold valid passports, visas, transit authorisations and any required child travel documents. Passport validity and blank-page rules differ by destination and nationality. Travellers must verify current official requirements. Map2Africa may assist with guidance but cannot guarantee admission or boarding.
11. Health and medical requirements
Travellers must obtain appropriate medical advice on vaccinations, malaria prevention, medication, fitness and destination health rules. Please notify Map2Africa early about accessibility or dietary requirements so requests can be communicated to suppliers. Remote travel may involve limited emergency medical facilities.
12. Mandatory personal travel insurance
Comprehensive personal travel insurance is mandatory for all travellers and should cover trip cancellation and curtailment, medical care, emergency evacuation, repatriation, missed connections, luggage and relevant adventure activities. Map2Africa may request proof of insurance.
13. Business liability insurance
Map2Africa maintains business liability insurance arranged through SATIB, as advised by the company. This insurance is subject to its policy wording, territorial scope, limits, conditions and exclusions; it is not a promise that every incident or destination is insured and does not replace traveller insurance.
14. Flights and baggage
Passenger names must match passports. Airlines and charter operators set their own check-in, ticket and baggage requirements. Light aircraft may impose strict weight and soft-bag limits. Travellers must follow the applicable carrier's restrictions.
15. Important safari and activity risk notice
Safaris and adventure travel may involve dangerous wildlife, unfenced reserves, open vehicles, boats, bush walks, difficult terrain, severe weather, disease, remote roads and delayed access to medical care. Some activities involve risk of serious injury or death. Travellers must follow guide and operator safety instructions.
Map2Africa will draw material unusual risks and relevant liability provisions to clients' attention before booking or participation and obtain any acknowledgements required by law. This notice does not remove rights that cannot lawfully be waived.
16. Liability and indemnity
Map2Africa will exercise reasonable care and skill in its own planning and coordination services. Independent suppliers remain responsible for the services they perform, subject to applicable law.
To the fullest extent permitted by law, Map2Africa excludes liability for losses caused solely by events beyond its reasonable control, traveller misconduct, or independent supplier acts for which it is not legally responsible, and for indirect or consequential loss where such exclusion is lawful.
Nothing excludes or restricts liability for gross negligence or other liability that cannot lawfully be excluded. Any client indemnity is limited to legally recoverable losses caused by that client's negligent or unlawful conduct. These provisions must be prominently presented at booking.
17. Force majeure
Events beyond reasonable control may include natural disasters, severe weather, war, unrest, epidemics, government restrictions and major transport disruptions. Map2Africa will communicate material effects and reasonably assist with alternatives, credits or refunds where due. Force majeure does not automatically eliminate statutory refund rights.
18. Traveller conduct
Travellers must obey local laws, respect communities and wildlife and follow reasonable safety instructions. Suppliers may refuse participation for serious safety or unlawful conduct, subject to applicable law.
19. Photography and marketing
Images and footage captured by Map2Africa or its authorised team may be used for promotional purposes where it holds the necessary rights and lawful consent or other legal basis for identifiable individuals. Additional appropriate permission will be obtained for identifiable children.
Travellers retain rights in their own content. Map2Africa may request permission to reproduce it in advertising or original marketing materials. Public traveller posts may be shared through platform-native repost or share features where allowed by platform rules and applicable law; public posting alone does not grant unrestricted rights to download, edit or exploit the content.
20. Complaints
Report problems during travel promptly to the relevant supplier and Map2Africa so they can be addressed. Unresolved complaints should be emailed to info@map2africa.com with booking details and supporting evidence. Map2Africa will acknowledge and investigate complaints within a reasonable time.
21. Privacy and communications
Personal information is processed as described in the separate Privacy Policy. Booking notices may be sent electronically. Marketing messages are governed by applicable consent and unsubscribe rights.
22. General terms and governing law
Material amendments require agreement or another lawful basis. An unenforceable provision may be severed without invalidating the rest. South African law governs these terms, subject to mandatory rights and jurisdictions applicable to clients. Nothing prevents access to competent courts, regulators or consumer dispute bodies.
